The vehicles are the easy part. The difficulty is sequencing: which group leaves first, where vehicles wait when they are not moving, how the schedule survives one delayed flight, and who makes the decision when it does not.
We plan those before the day and give you one contact who holds the whole picture. On the day, that contact is who you call — not each driver in turn.

What to send when you enquire
The quickest way to a useful quote for group work is the schedule, not the passenger count. Passenger numbers tell us how many seats; the schedule tells us how many vehicles, for how long, and whether the plan is even physically possible.
Useful to send: each movement with a time and both ends of it, the total group and how it splits, where people are staying, the venue addresses, and any fixed point that cannot move — a ceremony start, a flight, a dinner sitting.
If some of that is still unsettled, send what you have. Half a schedule is enough to tell you whether the shape works, and it is far better to find a clash three weeks out than on the night.

How far in advance should event transport be booked?
As early as you can, particularly in wedding season. Multi-vehicle bookings need drivers assigned and briefed together, which is far easier weeks out than days out.
Can you handle a group arriving on several different flights?
Yes. Staggered arrivals are common. Give us the flight numbers and we plan collections around each, with one contact holding the overall picture.
Do you charge for the time vehicles spend waiting at a venue?
Waiting is priced into event bookings from the start, because event transport is rarely point to point. You will see how it is calculated in the quote rather than discovering it afterwards.
What information do you need to quote group transport?
The schedule rather than just the headcount — each movement with times and both ends, how the group splits, where people are staying, and any fixed point that cannot move. Send a partial schedule if that is what you have.
